As the Operations Specialist, you will be responsible for supporting the various aspects of the Strategy & Operations function at Jarvis. 

Job Responsibilities:

Onboarding Support

Onboard contractors starting placements with our clients and ensure they have access to the necessary resources ahead of their first day including:

  • Creating and sending out Consulting Services Agreements

  • Conducting background checks 

  • Updating and maintaining client’s vendor management systems 

  • Creating WSIB forms and gathering all necessary documentation for contractor rulings

  • Providing ongoing communication and onboarding support to contractors

  • Working with the client to ensure hardware is shipped in a timely manner

  • Working with client’s vendors to ensure vendor management systems are up to date

  • Ensuring all steps in the onboarding process are completed in a timely manner

Timesheet Management

  • Importing of timesheets, data entry, and validation on a weekly basis

  • Ensuring timesheets for contractors are up-to-date and accurate

  • Completing follow-ups with both contractors and managers to ensure timely payments

Post-placement Support

Manage the post-placement process for candidates including:

  • Processing off-boarding and extension requests

  • Coordinating the return of equipment

  • Completing proof of income letters

  • Making updates to vendor management systems
     

Internal Support / Continuous Improvement

Cross-collaboration with other departments within Jarvis to provide additional support including:

  • Ensuring that delivery conforms to Jarvis’ policies, standards and guidelines including:

    • Conducting regular placement and compliance audits to ensure records are accurate and up-to-date in our applicant tracking system Bullhorn.

    • Auditing of current processes to ensure data integrity/accuracy, as well uncovering and addressing process gaps.

  • Ad-hoc support for our internal operations which can include, but not limited to:

    • Contractor escalations, contract management support, cross-functional support, administrative vendor support, and completion of vendor-related forms
